1. Who we are
Synflux Ltd ("Synflux", "we", "us") is the controller of the personal data described in this notice, which means we decide how and why it is used.
- Address: 260 Gibbet Street, Halifax, HX1 4LT, United Kingdom
- Email: info@synflux.co.uk
- Telephone: 01422 612805
We are not required to appoint a Data Protection Officer. Any questions about this notice or your personal data can be sent to info@synflux.co.uk.
2. The personal data we collect
When you use our contact form
Your name, email address, the subject and content of your message, and which page of our website you sent it from.
When you email or call us
Your email address or phone number, and anything you choose to tell us.
When you visit our website
Like any website, our hosting provider automatically processes basic technical information such as your IP address, browser type and the pages you request. This is needed to deliver the website to you and keep it secure. We do not use it to identify you or build a profile of you.
Please don't include sensitive information, such as details about your health, in your messages. We don't need it to respond to a business enquiry.
3. How we use your data and our lawful basis
Under UK data protection law, we must have a lawful basis for each way we use your personal data:
- Responding to your enquiry. Lawful basis: our legitimate interests (Article 6(1)(f) UK GDPR) in replying to people who contact us. You got in touch expecting a reply, and we only use what you've sent us to give you one.
- Preparing a quote or proposal you've asked for. Lawful basis: taking steps at your request before entering into a contract (Article 6(1)(b) UK GDPR).
- Running the website and filtering out spam. Lawful basis: our legitimate interests (Article 6(1)(f) UK GDPR) in keeping our website available, secure and free of abuse.
You don't have to give us any personal data, but we need at least your name and email address to reply to an enquiry.
4. Who we share your data with
We only share your data where it's needed for the purposes above:
- Netlify, Inc. hosts this website. It receives and stores contact form submissions for us and screens them for spam. It is based in the United States.
- Microsoft provides our business email (Microsoft 365), where we receive and reply to enquiries.
- AMZ DOC, our e-commerce partner, but only if your enquiry is about the e-commerce services we deliver with them, and only the details needed to respond to it.
Our service providers act on our instructions under written contracts and may not use your data for their own purposes. We do not sell your personal data to anyone.
5. International transfers
Some of our providers, including Netlify, process data outside the United Kingdom. Where that happens, we make sure appropriate safeguards are in place as required by UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework (where the provider is certified) or the UK International Data Transfer Addendum to the European Commission's Standard Contractual Clauses. You can ask us for more details.
6. How long we keep your data
- Enquiries that don't lead to us working together: deleted within 24 months of our last contact with you.
- If you become a client: kept for as long as we work together, and afterwards for as long as the law requires (for example, financial records are kept for six years).
- Technical website data: kept only for our hosting provider's standard, short log-retention period.
7. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you and get a copy of it.
- Rectify it if it's inaccurate or incomplete.
- Erase it in certain circumstances.
- Restrict how we use it in certain circumstances.
- Object to us using it where we rely on our legitimate interests.
- Data portability, meaning receiving data you gave us in a reusable format, in certain circumstances.
To use any of these rights, email info@synflux.co.uk. It's free, and we'll respond within one month. That can be extended by up to two further months for complex requests, in which case we'll tell you why. We may need to confirm your identity first.
8. Cookies and tracking
This website does not use cookies, analytics or any other tracking technologies. If that ever changes, we'll update this notice and ask for your consent where the law requires it.
9. Automated decision-making
We do not make any decisions about you using only automated means.
10. Complaints
If you're unhappy with how we've handled your personal data, please contact us first at info@synflux.co.uk and we'll do our best to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
